ESSI Website Privacy Policy
This privacy policy applies to the Earth & Space Sustainability Initiative ("ESSI") website at www.essi.org. ESSI is the controller of the personal information processed on this website and we take your privacy seriously.
This privacy policy covers the collection, processing and other use of personal data under the Data Protection Act 2018 ("DPA") and the UK General Data Protection Regulations ("UK GDPR").

Information we collect
We will collect personal data on this website if it is directly provided to us by you the user, e.g. your e-mail address, name, home or work address and telephone number, and therefore has been provided by you with your consent.
We also use analytical and statistical tools that monitor details of your visits to our website and the resources that you access, including, but not limited to, traffic data, location data, weblogs and other communication data (but this data will not identify you personally).
When you use the web application for the ESSI Standard Search Tool we collect the following personal data:

- Email address
- Password
- The organisation you work for or represent
- The country you work in
- An audit log of actions you have taken over the last month

Use of your information
We may hold and process personal data that you provide to us in accordance with the DPA and GDPR.
The information that we collect and store relating to you is used to enable us to provide our services to you, and to meet our contractual commitments to you. If we need your personal information to comply with a contractual commitment to you and it is not provided, then we may be unable to fulfil our commitment to you.
We may also use your personal information to notify you about any changes to our website, such as improvements or changes that may affect our service.
Where you have consented to receive our e-newsletters, we will process your personal information from time to time to provide the e-newsletter to you.
When you use the web application for the ESSI Standard Search Tool we use your registration information in order to provide you with access to the search tool. If you do not provide an email address and password, we cannot provide you with access to the ESSI Standard Search Tool.
We also have a legitimate interest in processing your registration information to deliver a web application that can be used by the global space sector, and the delivery of the Space Sustainability Principles/Standards. We will also use data we collect to monitor usage of our site and gain insights, such as understanding what organisations our users represent and where users are based globally. Wherever possible, we will anonymise personal data.
Disclosure of your information
We may disclose your information to regulatory bodies to enable us to comply with the law and to assist fraud protection and minimise credit risk.
Where you have consented for us to do so, we may provide your data to selected third parties who may contact you about their services that you may be interested in.
Please be advised that we do not reveal information about identifiable individuals to our advertisers, but we may, on occasion, provide them with aggregate statistical information about our visitors.

How we store and transfer your data

We will process, disclose or share your personal data only if required to do so by law or in the good faith belief that such action is necessary to comply with legal requirements or legal process served on us or the website.

How long we process your personal data
We will process your personal data for as long as reasonably necessary to fulfil the purposes we collected it for.
For our newsletter, we will refresh our mailing list every 2 years, asking whether or not you want to maintain your subscription to our newsletter. If we do not hear from you then we shall unsubscribe you.
For our web application, we will hold your user data for no more than 5 years before contacting you and asking you to confirm whether or not you would like to remain registered with us. If you confirm you do not want to maintain your user account or if we do not hear from you then we shall delete your account and personal data. If you confirm you wish to keep your account open then we shall continue to retain your personal data.
International Data Transfers
If you subscribe to our newsletter then we store your personal data in our third party mailing system which is hosted in the Netherlands.
All other processing we carry out is within the UK.
Our web application is hosted in the UK and all processing related to the web application is in the UK.
Security
The transmission of information via the Internet or email is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of data while you are transmitting it to our site; any such transmission is at your own risk. Once we have received your personal data, we will use strict procedures and security features to try to prevent unauthorised access.
You might find links to third party websites on our website. These websites should have their own privacy policies, which you should check. We do not accept any responsibility or liability for their policies whatsoever as we have no control over them.
